Importing and deleting statements or statements to process


This page explains how you can delete statements or statement to process records


Introduction

The Bank Reconciliation Suite App uses 2 kinds of records for imported bank data. The record type depends on the import type you are using and this could be a single import or a multiple statement import. Importing can be done manually or automatically. Both import options will behave differently after importing data. The single import is the lefthand side option and the multiple import option is the righthand side option. When you import data automatically it could be that that system creates directly actual statements or it creates statements to process records.

Importing data

Importing bank data can be done manually or automatically. In this part of the documentation, we explain how to import manually. More information regarding automatic import can be found in the section “Auto processing statements files that are in the file cabinet”.

Single statement import

When you import a single statement (lefthand side) the Bank Reconciliation Suite App will create directly a statement in the creation modus and after saving it will become an actual statement. If you import a single statement and do not save the page then the data won’t be stored in your Netsuite system. If you keep the page open in creation mode you can simply reload the page and check how potential changes behave that you have altered on the bank account configuration.

Multiple statement import

When you import a multiple statement file (righthand side) the Bank Reconciliation Suite App will create first statement to process records. This because the imported file could hold one statement but could also hold maybe 20 statements. After importing a multiple statement file you will always get an overview of the results. These results are basically statements that are imported but aren’t yet actual statements. So these statements to process do not yet have any kind of financial impact. The page after importing a file will look something like this.

After importing you still need to open the statements to process and save the records so they will be transformed into actual bank statements. It's possible to process directly from this results page, but we recommend only do this when you have one result. If there is more than one result we recommend processing from the statements to process list. This page can be found by navigating to TRANSACTIONS->BANK RECONCILIATION->STATEMENTS TO PROCESS. This page will provide an overview of all your pending imported bank statements.

By clicking on the edit | view you can open the statement and start the reconciliation. After saving the statement to process will be automatically transformed into an actual statement.

Fast Four recommends that all statements to process must be processed at the end of the day. If this list is always empty at the end of the day you are always sure you start the new day with up to date data

Deleting data

The Bank Reconciliation Suite App allows users to delete bank statements that are stored in the system.

  • When deleting a statement the Bank Reconciliation Suite App will always rollback the reconciled transactions on the statement so it's not needed to revert manually each line by hand.

  • When you delete data it can not be retrieved anymore so only perform this operation when really needed.

Deleting a statement

To delete a statement in full you must open the bank statement in view mode.

  • To open a bank statement in view mode navigate to Transactions>Bank Reconciliation>Statement List and press view on the bank statement line that you would like to remove. In edit mode, you won’t have the delete options available.

  • On the bank statement that opens you press delete and wait until you see a confirmation page.

  • If a confirmation is not shown and the system redirects you to the statement again it means that the statement is too big to be deleted in one go. In this situation simply repeat the process until you get a confirmation page. In each deletion run, you should see a decrease in the number of lines or matched lines.

It’s really important to read the confirmation page carefully because in certain situations the Bank Reconciliation Suite App isn’t able to rollback a reconciled line. The confirmation page will always show a clear overview of potential transactions that must be reverted manually. In certain situations, it can happen that the system states something couldn’t be rolled-back while it was actually rolled-back. This is due to the fact the deleting records and checking the deleted records aren’t always running syncronised. Fast Four recommend always to check each warning by clicking the hyperlink with your right mouse button and open this in a new tab. If the page that opens states the record could not be found it means that the roll-back was actually performed correctly.

The transactions that can’t be rolled-back and always should be reverted manually are:

  • Customer Refunds

  • Direct Debit Reversals

These transactions do have a parent-child relationship and due to this the Bank Reconciliation Suite App can’t decide correctly how to un-apply them.

When you delete a bank statement that originated from a multiple statement import then after deleting it will become again a statement to process. To fully remove the statement you should also remove the statement to process record

Deleting statements to process

To delete statements to process navigate to Transactions>Bank Reconciliation>Statements to Process.

  • By default, the page will open without the inline edit option enabled. To delete a record the inline edit option must first be enabled. This can be achieved by clicking on the slider button labeled “Edit”.

  • When the inline edit is enabled you can hover on a line and at the beginning of the line, you will see a green icon. When you hover on the green icon you will see an option to delete the highlighted line.
